The following steps are for processing items with various statuses, both when Checking In these items and when searching for them in the FOLIO Inventory app:
Declared Lost (Checking In):
- When Checking In an item, if the pop-up says: Item is Declared Lost...
- (This is an item that was checked out in Sierra that had the status of "Assumed Lost" or "Billed")
- The item's barcode must be scanned to Check In twice (once to initiate the pop up, and a second time to change the status to Available)
- Waive Fines: All fines must be waived by a Supervisor. Follow the steps for Waiving Fines - Supervisors Only
- Supervisors: Please make a note for Eileen or Chelsea of the patron name and title of item(s) so the fines can be cleared from a Sierra billed list.
Declared Lost (FOLIO Status):
- In the Inventory app, if an item has the status of Declared Lost, contact Eileen or Chelsea with the item information, who will then reach out to the Library Liaison for the corresponding subject to determine next steps.
- In the meantime, we can recommend the patron request the item through ILL.
Assumed Lost (Checking In):
This status is applied to items that have been overdue for 12 months.
- When Checking In an item, if the pop-up says: Item is Assumed Lost, follow the steps for Declared Lost (Checking In), including Waive Fines.
Assumed Lost (FOLIO Status):
- In the Inventory app, if an item has the status of Assumed Lost, contact Eileen or Chelsea with the item information, who will then reach out to the Library Liaison for the corresponding subject to determine next steps.
- In the meantime, we can recommend the patron request the item through ILL.
Missing Items (Checking In):
- When Checking In an item, if the pop-up says: Item is marked as Missing...
- The item's barcode must be scanned into Check In twice (once to initiate the pop-up, and a second time to change the status to Available)
- The items will automatically be removed from a Missing Books quarterly report and no further action is required.
Missing Items (FOLIO Status):
- In the Inventory app, if a patron is looking for an item but it has the status of Missing, contact Eileen or Chelsea to follow up on the Missing Books Report.
- If an item says Available, but was not found for its location, Supervisors should follow the steps for the Missing Book Search before marking an item Missing.
Lost & Paid:
- When searching for an item in FOLIO, if the item's status is Lost & Paid, it means the fine(s) on the item have been resolved.
- These reports will be run regularly and Library Liaisons will be contacted by circulation staff.
